This Privacy Policy explains how Klinworks LLC ("Klinworks", "we", "us" or "our") collects, uses, discloses, and protects personal information, and the rights and choices you have. Klinworks is a limited liability company organized under the laws of the State of Delaware, United States.
01 Introduction & data controller
For the purposes of the EU/UK General Data Protection Regulation ("GDPR") and similar laws, the data controller is Klinworks LLC. You can reach us at privacy@klinworks.com. If we appoint an EU/UK representative or a Data Protection Officer, their details will be listed in Section 16.
02 Scope
This policy applies to the Klinworks website at klinworks.com and to interactions with us (for example, when you contact us). Our individual products — including NeuralOS, Agent CRM, and Mentex — process personal data under their own product-specific privacy notices presented at the time each product becomes available. For business customers, products that process personal data on your behalf may be governed by a separate Data Processing Agreement (DPA), under which you are the controller and Klinworks acts as a processor.
03 Information we collect
Information you provide
- Contact & communications: your name, email address, and the contents of messages when you contact us or request information.
- Account information (where products offer accounts): credentials and profile details.
Information collected automatically
- Device & usage data: IP address, browser and device type, pages viewed, referring URLs, and timestamps, collected through cookies and similar technologies (see Section 6 and our Cookie Policy).
- Analytics: aggregated or de-identified statistics about how the site is used, where enabled.
Information from third parties
We may receive limited information from service providers (such as hosting, analytics, or security vendors) and, where you connect an integration, from that integration within the permissions you grant.
We do not seek to collect special categories of data (such as health, biometric, or precise geolocation) through this website. Where a product does process such data, that product's privacy notice will explain how.
04 How we use information
- to operate, maintain, secure, and improve the Services;
- to respond to your inquiries and provide support;
- to communicate with you about updates, and, with your consent where required, marketing;
- to understand usage through analytics;
- to detect, prevent, and address fraud, abuse, and security incidents;
- to comply with legal obligations and enforce our terms.
We do not use the personal information collected through this website to train AI models. Any use of data for model development within a specific product will be described in that product's privacy notice and subject to your applicable choices.
05 Legal bases for processing (GDPR)
Where the GDPR applies, we rely on the following legal bases:
| Purpose | Legal basis |
|---|---|
| Responding to inquiries; providing requested information | Performance of a contract / steps at your request |
| Operating, securing, and improving the site; analytics | Legitimate interests |
| Marketing communications; non-essential cookies | Consent |
| Complying with legal obligations | Legal obligation |
Where we rely on consent, you may withdraw it at any time without affecting prior processing.
06 Cookies & similar technologies
We use cookies and similar technologies to operate the site, remember preferences, and understand usage. You can control non-essential cookies through your browser or any consent tool we provide. For details, see our Cookie Policy.
08 International data transfers
Klinworks operates from the United States and works with service providers in various countries. When we transfer personal data from the EEA, the United Kingdom, or other regions with transfer restrictions, we rely on appropriate safeguards, such as the European Commission's Standard Contractual Clauses (and the UK Addendum) or an applicable adequacy decision. You may request a copy of the relevant safeguards at privacy@klinworks.com.
09 Data retention
We retain personal information only for as long as necessary for the purposes described in this policy, to comply with our legal obligations, resolve disputes, and enforce our agreements. When no longer needed, we delete or de-identify it. Retention periods vary by data type and context; product-specific notices provide further detail where relevant.
10 Security
We implement technical and organizational measures designed to protect personal information against unauthorized access, loss, misuse, and alteration, such as encryption in transit, access controls, and least-privilege practices. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a personal-data breach that legally requires notification, we will notify affected individuals and authorities as required.
11 Your rights & choices
Depending on where you live, you may have some or all of the following rights:
- Access a copy of the personal information we hold about you;
- Correct inaccurate or incomplete information;
- Delete your personal information;
- Restrict or object to certain processing;
- Portability — receive your data in a portable format;
- Withdraw consent where processing is based on consent;
- Non-discrimination for exercising your rights.
To exercise any right, contact privacy@klinworks.com. We will verify your request and respond within the timeframe required by applicable law. You may use an authorized agent where permitted. If you are in the EEA or UK, you also have the right to lodge a complaint with your local supervisory authority.
California residents (CCPA/CPRA)
California residents have rights to know, delete, correct, and opt out of the "sale" or "sharing" of personal information, and to limit the use of sensitive personal information. As stated in Section 7, we do not sell or share personal information. To exercise your rights, contact privacy@klinworks.com.
12 Children's privacy
This website is not directed to children under 13, and we do not knowingly collect their personal information. Where a product permits use by minors aged 13 or older, it will apply appropriate age-assurance and parental-consent measures as required by law. If you believe a child has provided us personal information, contact privacy@klinworks.com and we will take appropriate steps to delete it.
13 Do Not Track & Global Privacy Control
Some browsers offer "Do Not Track" or Global Privacy Control (GPC) signals. Where required by law, we honor recognized opt-out preference signals such as GPC. Because there is no common industry standard for "Do Not Track", we otherwise respond to such signals as described in this policy.
14 Third-party links
The Services may link to third-party sites or services we do not control. This policy does not apply to them, and we encourage you to review their privacy notices.
15 Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be indicated by updating the "Last updated" date and, where appropriate, by additional notice. Your continued use of the Services after changes take effect constitutes acceptance of the updated policy.
